Notice is hereby given of the following proposed Changes to Constitution of the

Gloucestershire Gay and Lesbian Community Group to be addressed at an EGM

(Extra-ordinary General Meeting) called by the Committee for 28th July 2016.

 

The GGLC Constitution referred to is as ratified 21st April 2010.

 

  1. 1. DEFINITION OF TERMS IN THIS CONSTITUTION

    7.2.7 Delete. The Auditor will be appointed at the AGM each year and must have a

              recognised accountancy qualification. Replace with A person with recognisable

              knowledge of Accountancy will be appointed to conduct and informal Audit.

    8.6.3. Line 1. Delete will be expected . Replace with may

    MEMBERS ARE REMINDED THAT THEY MUST ATTEND THE EGM IN ORDER TO VOTE

    ON PROPOSED CHANGES. PROXY OR POSTAL VOTES ARE NOT PERMITTED UNDER THE

    CONSTITUTION

BACKGROUND

 

At the end of May, our Diary of Events listed “Coffee, Chat and Raffle with Discussion on the Future of the Group (GGLC)”.

 

It was a well attended evening. The Chair started the discussion with points made at a recent Committee Meeting:

 

  1. He was retiring as Chair in 2017 after 25 years

  2. The majority of the Committee were getting older and it is becoming increasing difficult to find anyone to replace them

  3. It is a lot of work arranging weekly events as well as ‘one off ‘or ‘yearly events’.

  4. The Membership was holding steady but the numbers attending on a Thursday evening were steadily decreasing.

  5. It is embarrassing asking a Speak to give a talk or demonstration only to have 6/7 members attend.  It does not reflect well on the Group and sure the Speaker would feel disappointed

  6. Room Rent  and expenses are continually rising and with such poorly attended meetings, it is a waste of resources and budget. It is also very disheartening for the organiser of events or meetings to have such a low turn out.

  7. Coffee and Chat remain the most popular evening.

 

A very interesting and lively discussion took place with some very good points raised. Here is a summary of the topics on which there was a general consensus.

 

  1. That the group disband its current format and only hold special events on a monthly basis. E.g. Annual Dinner, Picnic, Bowling, Skittles, Meal out, Social night in a pub.  The numbers were equally split between those who wanted a complete change and those who wanted to retain regular meetings.

  2. That the name suggested “ideas of grandeur” by being GGLC COMMUNITY –we cannot speak for all of Gloucestershire’s LGBT.

  3. Members have always been encouraged to set up social events and this should continue (although the take on this is about nil)

 

The Committee have debated the issues and suggest the following:

  1. To retain the core of the essence of the Group we should meet monthly for Coffee and Chat.

  2. We should arrange a Social Event roughly once a month i.e. skittles, Annual Dinner etc

  3. Members would have priority on booking into events at a subsidised price. Non members would be able to book later, paying full price. The idea is to open the events out to as many as possible to make it viable and hopefully increase membership.

  4. Committee will explore electronic sytems capable of doing this

  5. We retain the “GGLC Community” as our legal title but adapt something like GLOS/Gloucestershire LGBT Club/Group.

  6. That any person organising an event sees it through from beginning to end.

  7. If we have a Speaker we have to ensure we are likely to get a good turn out

  8. This matters to be referred to and EGM and the necessary changes made to the Constitution.
